IconInc Terms and Conditions

  1. In order to live at an IconInc development, you must be a registered full time student, aged 18+.

  2. The holding deposit of £150 will reserve an apartment for you whilst we complete your application. Upon payment you will receive the relevant forms. All required paperwork such as the Tenancy Agreement must be completed and returned together with the Application Form, Tenancy Deposit payment of £500, Guarantor & Direct Debit forms (as applicable) within 15 days of receiving your holding deposit for the application process to be executed. If you are abroad we can allow documents to be progressed by e-mail. Once the Tenancy Agreement is executed, the £150 holding deposit will be administered as part payment of your first rent instalment. We do require the original Guarantor and Direct Debit forms to be completed and the original forms receipted by our office. Once the 15 days have elapsed, you are bound into a legal tenancy agreement which requires you to pay the rent for the full period of the tenancy.

  3. Please be aware that any proposed individual to stand guarantor must reside in the UK, be a UK home owner, be over 18 and be in full time employment. Proof of income in the form of pay slips/ P60/annual accounts (as applicable) and proof of home ownership in the form of mortgage statements, building insurance etc. will be required. In addition, the proposed guarantor will be required to provide proof of address, for example a council tax statement / utility bill and a copy of their signature such as a passport or driving licence. If you cannot obtain a UK guarantor, you may opt to pay the entire contract rent in advance. If this is not an option, you may choose Housing Hand as your Guarantor. Please note, to enable you to split the cost of your rent and pay in instalments, Housing Hand charge an annual fee. The price of the annual fee depends on the total rent payable and will be confirmed upon application. Please contact our team for further information.

  4. All cancellations must be notified in writing to IconInc – verbal cancellations will not be warranted. Cancellations will only be valid when in receipt of written cancellation consent from IconInc. We suggest if you are unsure about exam results, receiving your visa or other condition on you attending University that you do not book until you are sure. If it is determined that you have no right to rent / provide misleading or false information/ withdraw from the proposed agreement or fail to meet the 15 day deadline, your £150 holding deposit will be forfeited. After signing your Agreement, you are contractually bound to the tenancy and you can only be released after finding a suitable replacement tenant who will take on the full rent liability.

  5. There is no additional charge for card payments.

  6. Although we have taken care to ensure the information on our website is correct and up-to-date, we do not guarantee the accuracy or quality of the information provided and we accept no liability for any errors and omissions contained within it or any claims arising from the information provided.E & OE. All information on our website, including floor plans and images, are produced in good faith and serve as a general guide only which does not constitute any part of a contract or offer. The drawings, floor plans and images included on the site are believed to be correct at the time of publication but are indicative only, may not be to scale and are subject to change. If for any reason we are not able to offer your selected accommodation once your Assured Shorthold Tenancy Agreement is fully signed, we will contact you as soon as possible to explain the reasons why or offer an alternative solution. If we are unable to offer an alternative, or the alternative is unsuitable, we will refund any deposit paid in full.

  7. The Wifi speed at The Edge, The Glassworks, The Ascent and Gravity is 325mbps and residents are permitted to register up to 5 devices per account.

  8. It is important that all your contact details are correct.

Booking Terms & Conditions

Reservations: 

Check in: Standard check in time is from 3pm. A credit or debit card is required on check in to secure against any extras taken or damages incurred during your stay. We accept Visa Credit or Debit & MasterCard only for pre-authorisations, no cash or cheque is accepted at the hotels. If you cannot meet the requirements of check in and are denied entry to the hotel, full charges totalling the first payment due will still be applied to the card used to secure the reservation.

Check Out: Standard check out time by 11am. 

Special Requirements: Specially adapted rooms are available including wheelchair adapted bathrooms at some locations, with lifts in all public areas.

Special Requests: All special requests will be noted on the booking. We will try our best to fulfil all requests however, these cannot be guaranteed.

Security: For security reasons only guests with a reservation are allowed access to the apartments after 10 pm. Please note that all your personal belongings are your responsibility. A safety deposit box is available at the hotel for small items. Many apartments have lock box safes in the room, check individual hotel for confirmation. We operate CCTV recording in public areas and corridors for your safety and security.

Reselling of your booking: IconInc @ Roomzzz operates a strict no re-sell policy, if we identify bookings where a room is being resold through unauthorised channels, we reserve the right to cancel the reservation. No refunds will be given and cancellation charges will apply in the event of lost revenue. 

Published Rates: All rates quoted are per duration of booking subject to availability.

Your booking is with IconInc, which is a trading name of Roomzzz Limited (CRN: 05086774). Your student accommodation booking will be managed by Park Lane Properties (Leeds) Limited (CRN: 03107217) as managing agent and all payments should be made to Park Lane Properties (Leeds) Limited.

Payments: 

Cash Payments: All IconInc @ Roomzzz aparthotels are cashless. Holding fee can be paid via Visa Debit, Visa Credit, MasterCard, Apple Pay and Google Pay. Payments for bookings must be paid by bank transfer.

Contactless cards, Apple and Google Pay are accepted at the hotel for incidentals. Please note that there is a limit of £30 for contactless, Apple and Google Pay

Cancellation Policies:

Long Stay Rate: All long stay packages are based on a minimum of 28 consecutive nights. A £500 holding fee is due upon booking to secure your apartment. This payment will be deducted from the overall cost of your stay. If you cancel within 48 hours of making your booking, we will refund you your £500 holding fee. However, full payment or termly payment is due on completion of booking. This is non-refundable, non-amendable and non-transferable if the booking is cancelled.

Early Departures: Cancellation fees will be applied in line with the cancellation policies of your rate plan. Typically, this could be the next termly payment or the remainder of the booking duration.

We reserve the right to cancel your booking at any time with immediate effect if payments for bookings have not been made within the agreed time frames. Or you break the contract in anyway. 

We also may cancel your booking in the event of severe weather conditions, acts of terrorism, fire, flooding, power failure, emergency evacuation, other circumstances beyond our control. In the event of such a cancellation, we will endeavour to contact you in advance and advise alternative options.

Out-booking: In the unlikely event that we are not able to accommodate your booking on the night of arrival, we will find alternative suitable accommodation and ensure that you are charged no more than the original booked rate. Any difference will be covered by IconInc @ Roomzzz for your inconvenience.

Insurance: Insurance is not included in your rate for any IconInc @ Roomzzz location.

Optional extras:  Payment for any optional extras will be taken in full in conjunction with payment for the duration of your stay. This amount is non-refundable in the event of cancellation.

York Flood Evacuation Risk

Due to the riverside location of York City, in extreme weather circumstances there is a possibility that we may need to evacuate the property when no access to/from the hotel may occur.  IconInc @ Roomzzz York City will be given flood advice by the Environment Agency and will evacuate in line with their guidelines. In the event of a property evacuation, guests may be relocated to neighbouring properties in or around York, offered date changes or financial reimbursements. This is at the discretion of IconInc @ Roomzzz York City.  For more information, please contact the central reservations team or head to the Flood Warning Information Services website https://flood-warning-information.service.gov.uk.

 Hotel Information and Terms 

Luggage Store: We have limited space to store luggage prior to arrival and after departure. It is your responsibility to leave these locked and secured. Any luggage stored is left at your own risk and is subject to availability.

Lost Property: Any property left behind by guests will be stored as per procedure. Food and drink items are discarded.

Smoking: All public areas and apartments are Non-Smoking and a minimum fine of £100 will be automatically charged for fumigation to the card used to secure the booking.

Noise: Guests causing nuisance to other paying guests will be asked to vacate their apartments and make a compensatory payment.

Damage: In the event of malicious, wilful or negligence of room or other property damage, IconInc @ Roomzzz will charge the amount of any loss sustained, including business interruption losses to the credit/debit card of the registered customer. Where payment by the customer was made by means other than credit/debit card, Roomzzz will pursue the matter through civil courts.

Friend Referral Terms and Conditions

Residents can refer as many friends as they wish by completing multiple referrals pages from the link they have been given on email.

  1. Incentive(£100) payable to referrer only following actual move in to property.

  2. Incentive (5 free cleans) payable to referee only following referee actual move in to property.

  3. IconInc retains the right to cease and/or amend the scheme/offer at any time without notice.

  4. This reward scheme is not available if a customer has already been referred by an agent that receives commission based on referrals. If they go on to refer others to live with Iconinc, then they will be entitled to the incentive.

  5. No cash alternative.

  6. All form details must be filled in correctly to qualify for incentive.

  7. The incentive is payable if the lead comes through the landing page referral process outlined above, or if the referee provides the full name of the referrer and this information is validated by the live resident information that we have on our system.

  8. Any referral scheme disputes should send full details by email to info@iconinc.co.uk for review. IconInc reserve the right to make final decisions on all referral scheme incentive payments.

  9. If a referee has already completed a viewing for 2020/2021 year then they would be exempt from the referrals scheme.

  10. Referee is someone that lives with IconInc currently or has signed up to live with us 2020/2021
